Development Assistant, Resource Development

Department: Resource Development

Reports to: Chief Development Officer

Job Purpose: The Development Assistant will be a self-starter, detail-oriented and able to manage multiple projects simultaneously while proactively anticipating needs within the department. The Development Assistant provides administrative support for all members of the Resource Development team.

Duties and Responsibilities

  • Provide general office support and coordination in Resource Development, including the maintenance of up-to-date prospect lists, the preparation and maintenance of prospect tracking reports, the maintenance of office schedules and records, and support for other office and program needs.
  • Provide support with proposal preparation in order to ensure that submitted materials are well presented and proof-read.
  • Maintain donor database (iMIS) and mailing list, ensuring the capturing of accurate data, and support the data entry and clean-up needs in preparation for the conversion to the new CRM system.
  • Track gifts and grants and prepare regular reports of activity for leadership, Board, and other stakeholders.
  • Maintain all development department electronic and paper files.
  • Assist in maintaining development department work plans and prepare agendas for development department meetings.
  • Coordinate logistics and materials for meetings with funders and other external partners
  • Conduct preliminary general research on prospects, including up-to-date contact information.
  • Provide administrative support to the Chief Development Officer (mail and fax preparation and distribution, filing, photocopying, scheduling meetings and conference calls, arranging travel plans, preparing letters, mail merge, proofreading) including department staff meetings, department mail review, distribution, and dispatch; travel needs of staff, etc…

Qualifications & Requirements

  • Bachelor’s degree preferred and at least one year of experience in a nonprofit, association, or similar organization; experience with fundraising/development highly preferred
  • Experience providing high level administrative support to an executive and/or team of professionals desired
  • Exceptional oral, written, and interpersonal communications skills
  • Excellent data entry and proof-reading skills.
  • Strong attention to detail
  • Ability to conduct internet research
  • Proven accuracy, resourcefulness, and member service orientation
  • Willingness to take initiative to make improvements, enhance departmental efficiency, proactively solve problems, and deal with change
  • Demonstrated organizational skills; ability to manage multiple projects and move quickly from one to another while maintaining thorough records. Ability to be flexible and balance competing priorities
  • Ability to draft correspondence, take and edit minutes, and proofread documents
  • Proficiency with Microsoft Office Applications; familiarity with a CRM or other similar membership and donor management program; skill with other software applications a plus.
  • Ability to maintain professionalism and confidentiality in all situations
